Terms of Service
Version 1 · 1 October 2026
1. Who we are and these Terms
Coach's Room at https://coachsroom.com is operated by Deep Practice Ltd, registered in England and Wales, company number 17462492. Our registered office is 167-169 Great Portland Street, 5th Floor, London W1W 5PF. Contact: info@coachsroom.com.
These Terms govern use of Coach's Room. We will ask you to accept the applicable Terms before creating an account or making a purchase. Your purchase confirmation and any separate mentoring agreement also contain relevant information. Nothing in these Terms removes rights that applicable law does not allow us to exclude or limit.
2. What the service is and is not
Coach's Room offers AI-simulated practice clients for coaches, automated formative feedback through Mentor reports, and optional human mentoring booked separately.
Personas are artificial characters, not real clients. The practice service is not therapy, diagnosis, treatment, a crisis service or a substitute for real coaching clients, supervision or the client hours required for a professional credential.
Feedback references the International Coaching Federation (ICF) Core Competencies. It is developmental practice feedback, not an official assessment, examination, credential award, pass/fail judgment or guarantee of a credential outcome. Deep Practice Ltd and Coach's Room are not affiliated with or endorsed by ICF.
For an emergency or crisis, contact the appropriate local emergency or crisis service, not Coach's Room.
3. Accounts and acceptable use
You must be at least 18. Use your own account, keep your credentials secure and contact us if you suspect unauthorized access.
Do not use the service to harass others, attempt unauthorized access, extract or resell protected service content, identify a real person as the basis of a persona, or share another account holder's reports without permission. Do not present practice feedback as an official credential assessment.
4. Practice credits, prices and subscriptions
One credit buys either:
- One Practice Arc: an engagement conversation followed by a coaching conversation with the same persona; or
- One standalone practice session.
A credit is consumed when the first Mentor report for the arc or standalone session is generated. Abandoning a session before that report does not consume the credit. In an arc, the second coaching leg is then included at no extra charge and has no separate expiry.
The current public prices are:
- Free: one fixed Claire Practice Arc per calendar month.
- One-off credit: £12.
- Regulars: £39 per month, providing four credits per monthly billing period.
- Credential-prep: £79 per month, providing ten credits per monthly billing period.
Deep Practice Ltd is not VAT registered. We do not add or charge VAT at checkout.
Subscriptions renew automatically on their monthly billing cycle until cancelled. You may cancel future renewal through the available billing cancellation facility or contact us at info@coachsroom.com for help. Cancellation stops future renewals; paid access continues to the end of the paid period.
Stripe handles payment information. We do not receive your full card details.
5. Refunds, cancellation and consumer rights
5.1 Commercial refund policy for one-off credits
You may request a refund for an unused one-off credit purchase within 14 days of purchase by emailing info@coachsroom.com with the purchase details. A one-off credit is unused for this policy if no first Mentor report has been generated against it.
After a credit has been consumed, this commercial policy does not provide an automatic refund. This does not determine your statutory cancellation, refund or other rights. Where the law requires a refund or another remedy, those rights take priority.
This commercial policy does not automatically extend to subscription payments or mentoring purchases. Their cancellation provisions and any applicable statutory rights are considered separately.
5.2 Statutory rights and starting promptly
Where statutory cancellation rights apply, we will provide the required information and comply with the applicable rules. Starting a session, accepting these Terms or generating a report does not, by itself, waive a cancellation right.
If delivering the service during a cancellation period requires an express request, consent or acknowledgement, we will obtain the legally appropriate information separately before delivery. Whether any right ends, or any proportionate charge is permitted, depends on the applicable law, the type of supply and the relevant conditions.
Nothing here limits rights where a service or digital content is faulty, not as described, or otherwise fails to meet legally required standards.
5.3 Requests
Email info@coachsroom.com to request a cancellation or refund. We will assess the request under the commercial policy and applicable law, explain the outcome, and process any refund due using the original payment method where appropriate and within any legally required period.
6. Human mentoring
Human mentoring with Kaveh Mir, MCC, MCS, ACTC, is booked and paid separately through Calendly. Current packages are £250 for one session, £700 for three and £2,100 for ten.
A separate mentoring agreement is emailed for review, signature and return before the first mentoring session. Its terms are consistent with the published cancellation policy and applicable legal rights.
For a booked mentoring appointment:
- At least 48 hours' notice: request a refund or reschedule.
- At least 24 hours but less than 48 hours' notice: reschedule without an automatic cash refund.
- Less than 24 hours' notice: no automatic refund under this commercial policy. Contact us to discuss rescheduling or exceptional circumstances.
Applicable statutory rights take priority.
7. Privacy and voice features
Practice transcripts and reports are processed to deliver the service. Where browser speech recognition is available, a browser-vendor service converts speech to text; Coach's Room receives the text and does not retain recordings of your voice. Audio played by personas is generated media, not a recording of a real client.
Our Privacy Policy explains data use, processors, storage, processing locations, retention, sharing and your rights. Read it at https://coachsroom.com/privacy.
8. Intellectual property and your material
Service content, personas, frameworks, rubrics and report formats are owned by or licensed to Deep Practice Ltd. Your access does not transfer ownership of those assets.
You retain rights in your original inputs. You permit us to process them to provide the service and account functions described in the Privacy Policy.
You may use your reports for your own development and choose to share them. Do not misrepresent them as official accreditation or a formal credential assessment.
9. Service quality and liability
We do not guarantee uninterrupted availability or a particular professional or credential outcome. Applicable legal duties, including any required standard of care and skill, remain unaffected.
Subject to all liability and rights that cannot legally be excluded or limited, our total liability for claims arising out of or in connection with these Terms or the use of the service is limited to the greater of:
- Fees you paid Deep Practice Ltd in the 12 months preceding the event giving rise to the claim; or
- £100.
Nothing limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability or consumer remedy that applicable law does not allow us to exclude or limit.
10. Closure, disputes and changes
Contact info@coachsroom.com to request account closure.
We may suspend access for misuse, security concerns or unpaid fees, subject to applicable law. Where appropriate, we will explain the reason and provide a contact route.
These Terms are governed by the laws of England and Wales. Nothing removes mandatory consumer protections or rights to bring proceedings in a home jurisdiction where applicable law provides them.
If we materially change these Terms, we will communicate the changes appropriately before they take effect.
